About the opportunity

In the role of Executive Assistant at Sydecar, you will be directly reporting to our CEO and playing a critical role in streamlining our leadership operations. Your key responsibilities will include managing administrative tasks for our leadership team, allowing them to concentrate on strategic initiatives. Your organizational skills and attention to detail will be instrumental in driving efficiency and effectiveness, making a significant impact on the success and growth of our company.

What you'll be doing

  • Proactive Problem Solving: Anticipate the needs of the leadership team and proactively assemble the appropriate resources and personnel to address challenges and opportunities.

  • Meeting Management: Handle meeting logistics for the leadership team, including preparing agendas, pulling reports, taking notes, distributing action items, and following up on requests to ensure efficient and productive meetings.

  • Contact Management: Manage and prioritize contacts for the leadership team, ensuring efficient tracking and communication with key stakeholders and partners.

  • Discretion and Judgment: Field incoming requests for the leadership team, exercising strong judgment and discretion with highly confidential information.

  • Cross-Functional Communication: Work collaboratively across different departments to ensure clear and efficient communication between teams.

  • Event Coordination: Lead, organize, and leadership various internal and external events, social gatherings, offsite meetings, and team-building activities.

  • Calendar and Travel Management: Manage calendars for the leadership team, including out-of-office notifications and time blocking, as well as arranging travel, transportation, and accommodations.

  • Office Management:

    • Coordinate and plan in-office activities across all hubs (San Francisco, Seattle, Houston, and New York).

    • Oversee office needs to ensure a comfortable and productive work environment.

    • Act as a central point of coordination for all office-related inquiries and needs, ensuring smooth day-to-day operations across multiple locations.

What we're looking for

  • Track Record of Excellence: 5+ years of experience as an executive assistant or similar position.

  • Strong Internal and External Communication: Mastery in both written and verbal communication, with a focus on proactivity and clarity. Understanding of how to communicate to different stakeholders to achieve strong results.

  • Exceptional Organizational Skills: Superior ability to manage multiple projects, maintaining coherence and focus across diverse tasks.

  • Prioritization and Problem-Solving: Skilled in assessing task urgency, with a strong capability for effective problem resolution.

  • Adaptability and Flexibility: Comfortable with change and able to adjust plans quickly to meet evolving business needs.

  • Discretion and Judgment: Demonstrates impeccable discretion, especially in handling confidential information, and sound decision-making abilities.

  • Collaborative Team Player: Able to work effectively within a team as well as independently, contributing positively to team dynamics.

  • Strong Interpersonal Skills: Proficient in building and maintaining professional relationships across a range of stakeholders.

  • Attention to Detail: High level of accuracy and attention to the finer points in all aspects of work.

  • Strategic Thinking: Ability to align daily tasks with the company's broader objectives, showcasing forward-thinking and planning skills.

  • Experience in a financial technology startup.

Compensation: $75,000 - $95,000
