We’re looking for a positive, proactive, and approachable Office & Reception Manager to join us on a 12-month fixed-term contract.
This role sits at the heart of our Workplace Experience team, helping make our office a place where staff can thrive. You’ll have the autonomy to manage projects independently, bringing ideas to life and enhancing the day-to-day experience for everyone in the office.
Based full-time, 5 days a week in our brand-new Canary Wharf HQ, the role offers working hours of 08:30–17:00 and 09:00–17:30, Monday to Friday.

A day in the life:

  • Reception Management: First impressions are everything - you’ll be responsible for managing our busy reception and ensuring that visitors and Zopians alike receive a five-star service. This includes guest and contractor management, post handling, staff pass system, inventory, and resolving any issues that arise.
  • Facilities Management: Be the first point of contact for any issues or incidents that may arise, using your initiative to problem-solve. You’ll manage suppliers, including contractors and cleaners.
  • Raise permits with building management for any contractors, deliveries, and all office works (e.g., painting, installation of new equipment).
  • Complete daily checks of office space and meeting rooms to ensure they are tidy and presentable for Zopians and visitors.
  • Order new furniture or office equipment where needed.
  • Complete morning set-up: clean coffee machines, fill up the snack station, breakfast items, and drinks fridges.
  • Oversee contracts and negotiate with office suppliers to ensure best value (e.g., coffee suppliers, catering, stationery, maintenance contracts).
  • Liaise with landlord and building management: act as the main point of contact for building operations, maintenance, and security.
  • Health and Safety: Keep up to date with all H&S legislation and ensure compliance.
  • Book the annual fire risk assessment and general risk assessment, and ensure we always have the correct number of certified First Aiders and Fire Wardens.
  • Record any office H&S incidents and action plans where appropriate. Take action on desk assessment issues.
  • Keep staff updated with relevant information, liaising with internal communications.
  • Events: Organise our annual summer and Christmas parties, as well as other events throughout the year, ensuring events focus on staff engagement and inclusivity.
  • Ensure events are delivered within budget.

About you:

  • You have demonstrable experience in office and/or reception management.
  • You understand Health and Safety requirements and/or hold a relevant qualification.
  • You are a great communicator and can quickly resolve issues using your initiative.
  • You are able to work independently, keep tasks organised, and manage competing priorities.
  • You are confident in liaising with contractors, suppliers, and building management.
  • You have experience overseeing office facilities and ensuring everything runs smoothly.
  • You are comfortable supporting events and projects that enhance the workplace experience.
  • You have a keen eye for detail and organisation, ensuring the office is always welcoming and professional.
  • You are adaptable and can handle a variety of tasks in a fast-paced environment.
We're on the move!
Towards the end of 2025 Zopa will be relocating to a brand-new headquarters at 20 Water Street in Canary Wharf. The 44,000 square foot workspace will foster collaboration and inspire creativity for our 900 employees amidst our 2025 growth blitz.
